The Process of Planning a Race Part 1

Race Planning Part 1

So, you’ve decided you want to plan a race – a 5K, 10K, or even a Half or Full Marathon? Even better, you wish for the proceeds to benefit a worthy cause? I love it! You’ve come to the right place.

Before you get started, you should know that planning a race is a LOT more work than it seems. Don’t let me dissuade you, though – it’s completely rewarding and all worth it in the end.

Here are a few things to think about in the early stages of race planning:
  • Choose your cause – why are you hosting this race? Will it benefit a certain charity or good cause? Make your cause clearly known when advertising.
  • Date – what time of year do you want to hold your race? Pick a date that’s seasonally appropriate for your area. Down south, a Half or Full isn’t a reality past March and most 5K’s/10K’s are held in the late Fall/Winter/early Spring.
  • Time – What time of day do you want to hold your race? Is it a morning run? Is it a night time run?
  • Location – does your area have a beautiful place where most races are held? Can you adopt a new route to make your race more exciting or more appealing to runners who run a lot of local races? I’ve found that throwing a new element into a race draws a bigger crowd. For example, last year (2013) was our area’s first Gleaux Run. It was also the area’s first night-time run which drew a crowd of over 800 people (that’s HUGE for our area).
  • Route – pre-measure your route and mark it off with signs to make sure runners know where to go. If you’re route is an out and back course, make sure the turnaround spot is clearly marked. This is super important – it could turn your 3.1 miler into a 4 miler in an instant...and you don’t want that to happen!
  • Approvals – you’ve picked your location, now who do you need to contact to approve your decision? For my area, I had to contact our City and the Marshall who is housed at the City offices. Also, the center where our race is being housed had to approve our route.
  • Registration – do you want your runners to register by website? Mail-in forms? We decided to go with and mail-in registration forms. It’s easier if you give people more than one option.
  • Fee – how much do you want to charge? Compare your race to other local races and see how your pricing compares. You won’t want to charge an exuberant amount if other races aren’t charging that fee. For example, we don’t give out medals to runners for 5K’s in our area, so a typical race costs around $20 or $25 dollars. Each runner receives a t-shirt.
  • Water/Electrolyte replacement during your race – if your race is a 5K or less, chances are you won’t need electrolyte replacement along the course. Make sure you have plenty of water for the race itself and also enough for runners post-race. We’ve found that water bottles are best (and if you’re supporting a worthy cause, most places are willing to donate whatever you need...all you have to do is ask!)
  • Water stops along the course – how many do you want to have? If it’s an out and back shorter course, having one stop that accommodates both sides of the road works best – we try to place the tables right past the mile 1 stop, that way runners hit it right past mile 1 and again right past mile 2. Also, be sure and include plenty of water for runners after they cross the finish line.
  • T-Shirts – call around in your area for the best pricing. In most cases, the more t-shirts ordered (the bigger the race), the less money each t-shirt will cost. Some places charge a setup fee and others don’t – be sure and ask up front.
  • Logo – do you know a graphic design artist? Can they create a logo for you? This will also help with the cost of your t-shirt company. If the t-shirt company has to build a logo for you, they will usually charge you an additional fee.
  • Volunteers – you’ll need plenty of volunteers - setup, registration, and water stops along the route.
  • MC/DJ for the event – do you want to include music while runners are waiting around for the race to begin? If so, find a DJ who will be willing to play music for your event. An MC with a good speaking voice is nice to have, too – they can make announcements for you and host your opening/closing ceremonies and awards program. Also, if your MC/DJ does not have sound equipment, you’ll need to book that as well. Make sure you have a clear script written out and send it to your MC ahead of time for review.
  • Advertisement – Facebook, word of mouth, radio, television, signs around town – all of these are great ways to spread the word about your event. One important factor is to be consistent with your Facebook page. Answer participant’s questions and keep them up to date on race happenings – this will help them feel more involved and be committed to your cause. It will also encourage them to return next year!
  • Start and Finish line – from pipes holding up a banner to balloons tied down by weights, I’ve seen it all when it comes to start and finish lines. One thing’s for certain – make sure your finish line is marked off clearly for runners to see.
  • Bibs/Timing – is this a fun run or are you going to include timing for the runners? Is each runner going to have a bib with a timing chip on it? Our area offers a timing company who comes in and takes care of the logistics for you (for a small fee). Check out your area and ask other local race directors what process they’ve used for timing/bibs.
  • Prizes – are you going to give out prizes to the top runners? How about age category prizes? It’s up to you what you want to do, but I believe you should at least include something for the top 3 male/female runners.
There you have it, a basic overview of everything it takes to make a race happen!

Recipe: Sugar Free Vanilla Iced Coffee

Sometimes you just need something cold to drink. Saturday’s run was hot and humid and left me with little desire to drink a steaming hot cup of coffee when I finished my run. Actually, I really wanted an iced sugar free vanilla coffee from Wendy’s.

I knew I had plenty of ingredients on hand at home, so I threw together a few things and created an iced coffee that was so delicious, I had to share!

Sugar Free Vanilla Iced Coffee

  • 10 oz brewed coffee, cooled to room air or chilled
  • 2 tbsp sugar free creamer of choice (Please note: the Natural Bliss Creamer pictured is not sugar free)
  • 2 tbsp sugar free vanilla syrup
  • ice

Brew coffee and allow to cool to room temperature or chilled. (I actually added a few ice cubes to mine because I’m impatient.)

Fill glass/tumbler about half-way with ice. Pour creamer and syrup over ice.

Once coffee has cooled, pour over ice and stir to combine.

Serve and enjoy!

With ingredients shown below, this recipe is 70 calories.

Ingredients I used. No need to add additional sweetener – the syrup adds plenty of sweet!

Instead of tbsp, I used a measuring cup – 1/8 cup of creamer and 1/8 cup of syrup. (1/8 cup = 2 tbsp)

Workouts & Desserts

I can’t believe it’s Monday already. Where did the weekend go? I had a great two days off work and really enjoyed spending time with friends!

On Friday night, I had nothing to do…so I worked out! I decided to expand on Thursday’s Cross Training routine, so I created my own.

 Running (2)

  • 1 mile run
  • 50 jump ropes
  • 15 pushups (I’m a wimp and have no upper body strength at all!)
  • “Lawnmower” pull – 10 pounds & 15 reps each arm
  • 25 squats
  • 20 walking lunges each leg
  • 20 sit-ups
  • Biceps curls, 10 pound weights & 20 reps
  • 25 squats
  • 15 pushups
  • 50 jump ropes
  • 1 mile run

Saturday morning, I met my running group for a long run around town. Heather and I were supposed to run 10 miles, but the humidity was so bad and we were so miserable, we cut it down to 6 miles instead.

I attended a family wedding shower on Saturday afternoon, then I met up with Mackenzie. It’s been a loooong while since we saw each other, so we spent the night just talking away!

Our original plan was to make some sort of meal out of Disney Parks food (see, I have Disney obsessed friends, too…it’s not just me)! Instead, we landed dinner at Olive Garden, then baked a dessert of Ooey Gooey Toffee Cake from Liberty Tree Tavern instead.

This stuff is DELICIOUS, y’all. For. Real. Don’t stare too hard at the ingredients, you might talk yourself out of baking it – which is why I don’t make it, like ever. The good news is, this recipe makes enough for two pie dishes, so it’s a pretty big recipe (if you decide to make it, you can cut it down by half). Want the recipe? Click here.

Our friend Melissa was working on Saturday night, so we decided to bring a little Disney surprise to her at work!

Fitness Friday–7/25

Happy Friday! What a crazy week this has been! We are currently undergoing upgrades to the equipment in our department at work, so our work hours have shifted a bit to accommodate down time. I can’t wait until we are up and running for good!

Despite the business, lots of fun things happened this week!

During Wednesday’s run, I saw a lot wildlife. They were all out to enjoy the beautiful weather!

I loved the family of turtles – aren’t they adorable? One turtle was scared and jumped in the water but the rest stayed put as I ran by!

The bunny rabbits (there were two) were incredibly brave. They didn’t dart away until I got super close. See the  mound of dirt next to the bunny? That’s a crawfish hole!

Another creature I spotted on Wednesday's run was a snake. I stopped to change a song on my iPhone and put my hair up when I saw something moving by my foot out of the corner of my eye.  I did a double take when I realized that it was a snake. (FREAKED me out.) He wanted to get away from me as fast as I wanted to get away from him. No picture, unfortunately!

Yesterday was Free Tea Day at McAlisters! I make it a point to stop every year on free tea day (and other multiple days throughout the year). Free Tea Day is even marked on my work calendar!

Last night, Jason and I went out for Sushi. We saw this “special” sign at the door and that sealed it for us! We aren’t super adventurous when it comes to sushi (Jason actually doesn’t like fish)…but we do like trying new things! We both enjoyed this roll with spicy tuna! :0)

Recipe: Almond Butter Banana Waffles (Paleo)

It’s been a while since I shared a recipe with you guys. Several weeks ago, I said that I was attempting to find a mostly grain-free pancake/waffle recipe that I enjoyed. I’ve tried so many recipes in the past (paleo friendly, too) that I didn’t care for. After much trial and error, I realized the almond flour and/or coconut flour ingredient was throwing the texture off for me.

Last week, Paleo Grubs posted a recipe for freezer-friendly waffles (borrowed from Taylor Made It Paleo), so I thought I would give it a try. I tweaked the recipe for my own personal preferences, and I loved it!  These waffles are GOOD, y’all. Seriously…I actually want to eat them! They are so good in fact, I decided to share them with you today!

Almond Butter Banana Waffles (Paleo)
Adapted from: Taylor Made It Paleo


  • 2 medium ripe bananas, mashed
  • 2 eggs
  • 3/4 cup almond butter (or nut-butter of your choice)
  • 2 tbsp pure maple syrup
  • 1 tsp vanilla
  • 1 tbsp arrowroot flour (I used cornstarch because it’s what I had on hand)
  • 1 tbsp cinnamon
  • 1/8 tsp nutmeg
  • 1/2 tsp baking soda
  • Optional: 1/4 cup chopped walnuts (or pecans)
  • Optional: fruit for topping

Sidenote: I didn’t have arroworoot powder on hand, so I substituted cornstarch instead (which no longer made them paleo but that was ok with me. If you want a strictly paleo recipe, don’t substitute with cornstarch.)


Pre-heat waffle iron to desired temperature. Gather ingredients.

Combine all ingredients in a food processer. Process until smooth.

Pour batter into waffle iron and voila! Easy as pie!

Top with your favorite fruit or syrup topping, serve, and enjoy!

Serving size: 6 waffles (depending on the size of your waffle iron); 250 calories per waffle

This recipe made six waffles for me. I was able to freeze the extra and I’ve been eating on them all week! Pop them into a toaster when you’re ready for breakfast and they are ready to go!

I enjoyed these waffles on Saturday with eggs and turkey bacon after my long run. The iced coffee was pretty delicious, too!

This week, I’ve eaten a waffle with my coffee every morning for breakfast. Know what would make these taste even better? A fresh fruit topping…sad times, I’m out of fresh fruit. I need to go grocery shopping, like bad.

Rainy Weekend

Happy Monday! I hope you all had a great weekend! On Friday, I shared that my #1 goal for the weekend was to catch up on my sleep and (thankfully), I got to do just that! Rainy weekends are the best for sleeping, aren’t they? :0)

Friday afternoon, I took a 2 hour nap after work. I debated sleeping in on Saturday morning and skipping my run, but I felt better after my nap. (Don’t we all think more clearly once we’ve had sleep?)

Saturday morning, I woke up and prepared for a rainy day long run. I left my phone in my car, wore a visor, etc. Guess what? It didn’t rain until AFTER we were finished running. Seriously, we got in our cars to drive away and that’s when it began to rain.

I had my visor for rain and didn’t end up needing it. Had I not worn my visor and brought my phone along on my run, the rain would have started right away. Story of my life!

After my run, I came home and made breakfast instead of eating out elsewhere. I decided to try my hand at grain-free waffles (no coconut flour or almond flour, either)…and they were pretty darn good if I do say so myself!

Know what I did after breakfast? I took another 2 hour nap! :D

On Saturday night, Jason and I went out for dinner and a little shopping. Yes, I convinced him to go shopping with me! We found this shirt at the mall and I immediately sent a picture to a few cross-fit friends of mine! Hilarious!

Sunday morning, we went to Church then had lunch with my parents. After we returned home, I attempted to finish up a few things in the backyard while fighting off wasps. UGH. Red wasps were everywhere – seriously, at least 5 of them were flying around. Wasps + me = no go. Ah well, at least I finished what I needed to do!  I also cleaned out the garage – which needed it in a BAD way. It looks SO much better now!

Yes, I know I said I would NEVER do another DIY project ever again. Guess what? My husband is in charge of this one! :0) After attempting to contact multiple floor guys about changing out the tile, we spoke with someone at Lowe’s who reassured us that replacing three tiles on our own would be ok…so we’ll see what happens.  Watch a youtube video, he said….it will be easy, he said…well, I’ve heard all of that before….which is why I’m staying out of this project!

I figure if it looks horrible, we will call someone to come fix it. Never know until you try! We must be really brave…or just really dumb. Guess we’ll see in the end!

Frozen Rice Crispy Treat

Last but  not least, I received a surprise on Sunday! A friend of mine just returned from Disney and brought a few rice crispy treats to me! As an added “surprise”, she even threw a Frozen one in the mix! Love it! I can’t remember if I said this already or not, but she got engaged on her recent WDW trip!  Her fiancĂ© proposed on the side of the castle by the wishing fountain. I’m so glad her family caught the whole thing on video – I was dying to see how it all played out!

Fitness Friday–7/18 & Injury Prevention

Monday –  3 mile run – low humidity! YAY
Tuesday –   2.5 miles with Jason
Wednesday – Rest day, although it wasn’t actually a “rest”…no down time after work…long story, even longer day.
Thursday – 3 mile run
Friday – Haven’t decided yet – getting off of work early, going to see how I feel.

This weekend, I plan on catching up on sleep. Last week and the weekend completely wore me out, so I’m hoping to have a chance to sleep in at least one day this weekend!

Recently, I began training for Fall/Spring marathon season. With new rounds of training comes new potential injuries. My goal this year is to run my races pain free and I’m doing everything in my power to reach this goal!

My number one running necessity is a foam roller. Without a roller, I’m not running.

My foam roller collection consists of:
  • Mini travel sized foam roller (fits perfectly in my suitcase for plane rides)
  • BCG Fitness foam roller (resides in the back of my car, permanently)
  • Rumble Roller, large size. I plan on adding the mini travel sized roller to my collection soon

After using foam rollers for the past two years, I finally found one that WORKS for me. Some people swear by The Stick – I swear by the Rumble Roller. Last year, I randomly stumbled upon this roller at Dick’s Sporting Goods and tested it out in the store (yes, I’m one of those)…

I’m not gonna lie, this foam roller HURTS…but it’s a “hurts so good” kind of hurt…and after testing it out, I knew I had to have one. Jason bought a Rumble Roller for me for Christmas…you know you’re a runner when….yeah.

Never foam rolled before? No worries – prior to my first experience with the foam roller, I googled and researched to ensure proper form. My running coach once said, “If it hurts like crazy, you’re doing it right!”

Another necessity in injury prevention is an ice pack. Recently, I was contacted by the guys at TheraPearl to review their hot/cold sports pack.

Prior to using TheraPearl, I relied on bulky ice packs and frozen reusable cold packs that never stayed in place. I often fall asleep with an ice pack around my knee, so I was excited to test the TheraPearl, complete with sports strap!

I love that the TheraPearl is movable and forms to the area of the body it’s placed on (even frozen)! Another feature I love about the TheraPearl (I’m totally a nurse-geek for this one) is the fact that it holds heat/cold for the recommended 20 minute time span!

Last but not least, my third and final running necessity is a good sports cream. I’ve tried everything from Icy Hot to Bengay patches to BioFreeze and Atomic Balm.

The aforementioned creams/gels all have a certain odor to them – which works in the sports realm. However, said odor does not work in the professional work force realm, especially when dealing with cancer patients who might have an aversion to certain smells.

Enter REgel. A few weeks ago, REgel contacted me for a review of their product and I agreed.


REgel is not just a pain reliving cream, it was created to help relieve pain, repair damage, and help athletes recover from soreness after a workout.

Guess what? REgel does NOT have an odor at all, which means I can use it while at work! Apart from relieving symptoms, REgel helps promote healing and long term recovery. All right up my alley, and it works. I love this stuff!

Along with a product sample, Thach (the creator of REgel) also offered a few extra IT Band exercises to add to my normal routine which was incredibly nice of him! I plan on sharing my entire IT Band exercise routine with you guys next week.
